o Assess compatibility with our capabilities and resources. 

2. Project Specifications 

o Collect source assets, reference files (software, style guides), and any existing glossaries or translation memories. 

3. Quotation & Schedule 

o Analyze workload and propose a detailed quote with delivery milestones. 

o Await your purchase order (PO) to formally launch the project. 

4. PM Assignment 

o Assign a dedicated Project Manager who becomes your single point of contact. 

2. Preparation

• Project Kit Assembly 

o PM consolidates all assets, instructions, and reference materials. 

• Schedule Confirmation 

o PM reviews and finalizes delivery dates with your team. 

• Risk Mitigation 

o Identify potential challenges (file format issues, terminology gaps) and propose solutions. 

3. Team Assembly & Training

• Team Selection 

o Assign native-level translators, editors, proofreaders, QA specialists, engineers, and DTP experts. 

• Technical Onboarding 

o Provide tool-specific training or style-guide briefings to ensure consistency and efficiency. 

5. TEP (Translation → Editing → Proofreading)

1. Translation 

o Distribute files with a clear checklist and hold a kickoff briefing with the team. 

2. Team Coordination 

o Conduct regular status meetings; share a weekly progress and query report with you. 

3. Editing 

o In-house editors review and harmonize translations, confirming queries with translators as needed. 

4. Proofreading 

o Technical experts proofread without source reference to simulate end-user experience. 

5. In-Process QA 

o Sample at least 10% of content for accuracy, consistency, and formatting during TEP. 

6. Final QA & Delivery

• Comprehensive QA Check 

o Random review of translated, edited, and proofread files to verify all instructions and quality standards are met. 

• Pre-Delivery Validation 

o Confirm file integrity, folder structure, and virus-free status. 

• Secure Delivery 

o Upload final deliverables to your FTP or preferred platform, complete with version logs and change histories.
